Job: Office Administrator at St. Margaret’s House

As Office Administrator in our unique charity, your main purpose is to ensure the smooth day to day management of the office and to provide excellent customer satisfaction by consistently meeting and exceeding customer expectations.

Some of your main duties will include:

- Providing day to day customer service and administrative support

- Liaising with customers and dealing with enquiries and bookings in a polite and professional manner

- Administering existing and new tenants requirements/maintenance issues, preparing contracts, maintaining accurate computerised database records and updating details when needed

- Implement and improve systems and procedures where necessary

- Provide general administrative support to the Director

- Liaise with I.T. support &other maintenance contractors and schedule all necessary work

- Update content of website to ensure all contact and other information is up to date

- Responsible for communication of updates and useful information to licensees and user groups

- Advertise available office space via social media streams, newsletter and website

- Produce and distribute invoices for monthly licence fees, space bookings and catering

- Carry out Cafe banking twice weekly as well as banking for St. Margaret’s House whenever necessary

- Produce weekly summaries and reports for the Cafe

- Update and amend intern job descriptions where necessary

- Liaise with interns regarding their projects and progress to ensure they are in line with the aims of St. Margaret’s & conduct supervision sessions

- Work with the Comms Manager to shortlist and interview interns ,maintain records of staff holiday and sick days

- Ensure new employees are provided with health & safety and  fire safety information, staff handbook and other essential information upon commencing post

The ideal candidate will have:

- The drive and motivation to deliver the best possible customer service on a consistent basis

- A flexible, adaptable approach someone who is always willing to give 100% to all tasks

- Strong organisation skills and the ability to manage efficient administration systems

- The ability to understand customer requirements and consistently meet and exceed expectations

- Previous experience in administration desirable
